Privacy Policy

At UrbanHKG, we respect your privacy. This page explains in plain English what personal data we collect, why, and how we look after it. We follow Hong Kong's Personal Data (Privacy) Ordinance (Cap. 486).

What we collect

  • Contact details: your name, email address and phone/WhatsApp number when you book a tour, buy something or get in touch.

  • Booking details: the tour you choose, the date, the number of people, and anything you tell us (e.g. experience level or health/mobility needs).

  • Order details: your delivery address and the items you order.

  • Payment details: handled securely by Stripe. We never see or store your full card details.

  • Community content: photos, captions and comments you upload to our Members' Community and photo wall, plus your name or handle for crediting.

  • Website data: information such as your browser, device and the pages you visit, collected through cookies and Google Analytics.

How we use it

  • To confirm and manage your bookings and contact you about them (e.g. meeting points, weather changes).

  • To process payments, send gift vouchers and deliver your orders.

  • To run the Members' Community and review photos before they're shown.

  • To feature members' photos with credit on urbanhkg.com, in the Community and on our Instagram, as agreed when you upload.

  • To answer your questions and improve our tours and website.

We don't send newsletters or marketing emails, and we don't sell your personal data.

Who we share it with

We use trusted services to run UrbanHKG. They process data on our behalf:

  • Squarespace: website, online store, checkout and member accounts

  • Acuity Scheduling: tour bookings

  • Stripe: payments for store orders and tour bookings

  • Padlet: the Members' photo wall

  • Printful (our print partner): printing and delivering merch (receives your name and delivery address)

  • Google Analytics: understanding how visitors use our website

  • WhatsApp / Instagram: if you choose to message us there

Some of these services store data outside Hong Kong (for example in the US or EU). We choose providers who take security seriously. We may also share data if required by law.

Cookies

Our website uses cookies to keep it working (e.g. your shopping cart) and, through Google Analytics, to understand how visitors use it. You can control or block cookies in your browser settings.

How long we keep it

  • Booking and order records: up to 7 years, for accounting purposes.

  • Community photos: until you ask us to remove them or you leave the Community.

  • Other data is deleted when we no longer need it.

Keeping it safe

We take reasonable steps to protect your data and only give access to people who need it to run UrbanHKG.

Your rights

Under the Personal Data (Privacy) Ordinance, you can:

  • Ask for a copy of the personal data we hold about you.

  • Ask us to correct anything that's wrong.

  • Ask us to remove your photos or stop using them in future, at any time.

Just contact us using the details below. We'll reply within 40 days, as the Ordinance requires.

Young people

Our tours are for people aged 16 and over, and under-18s must be accompanied by a parent or guardian. We don't knowingly collect data from children under 16.
